Business process automation

I automate the parts of a company that follow fixed rules: enquiries, offers, orders, invoices, reports and reminders moving between the tools you already use. I connect accounting, sales and warehouse software, email, chat and the bank so nobody copies data from one window into another. I work with companies of 10 to 250 people across Poland. A first automation costs from PLN 15,000 excl. VAT.

Who it is for

Service companies
Work orders, rotas, protocols and recurring invoices that have to add up every month.
Manufacturing
Orders from the ERP to the shop floor, stock levels, shipping documents and management reports.
B2B trade and e-commerce
Orders from Allegro and your web shop, BaseLinker, invoicing, returns and payment follow-up.

What exactly I build

I automate processes with clear rules that repeat every day or every week. Where a decision is needed, I leave it with a person.
  • Integrations between your tools

    Runs on its own

Data entered once reaches everywhere it’s needed: an order from BaseLinker into the accounting software, an invoice from inFakt into the CRM, a new client from a web form into a spreadsheet and the calendar. I connect through APIs, and where there isn’t one, through file import and export.

In my own company, invoices from inFakt are matched to clients and sites in the panel every day, and the list of clients who haven’t paid arrives on Telegram in the morning.

  • Reports that build themselves

    Runs on its own

Sales, receivables, hours worked, job completion. The report arrives in the morning by email, Teams or Telegram, in the same shape every week, with no spreadsheet stitching.

Every morning I get a short report: money, sales, operations, people and the decisions to make that day.

  • Reminders and payment follow-up

    A person approves

Reminders about payments, contract dates, inspections and staff documents go out on their own, following agreed stages. You only decide on the steps that genuinely need a decision.

In my own company debt collection runs in 9 stages, from a reminder before the due date to 60 days after it, with ready letters and a call script.

  • Document and approval flows

    A person approves

Contracts, protocols, purchase and leave requests follow a set path: who prepares, who approves, where the signed document ends up. You can see what is stuck and with whom.

For example: an employee requests a purchase through a chat app, a manager approves it with one button, and the delivery status shows up in the system.

  • Bank reconciliation against documents

    Runs on its own

Bank statements (MT940 files or a PSD2 bank connection) are matched to invoices and costs. Only what can’t be matched stays red, and that goes off to be explained.

In my own companies every transaction must have an invoice or a cost document each month; whatever the system can’t match on its own is flagged red.

  • KSeF e-invoices in your workflow

    Runs on its own

Invoices from Poland’s National e-Invoicing System (KSeF) go where your accounts team and staff actually work, assigned to cost centres, jobs or projects. No manual downloads, no copying invoice numbers around.

How it works

Typical timings for a first scope. You get the exact schedule together with the quote.
  1. Process map

    1 week

I map the process step by step with the people who run it and count the hours. We decide what to automate first.

  2. Rules and access

    1 week

I pin down the rules, the exceptions and who approves what. I collect access to the tools and set up a test environment.

  3. Build and test

    2–4 weeks

I build the automation, test it on real data from recent weeks and compare the result with what was done by hand.

  4. Launch and support

    1 month

I switch it on, watch the first month closely and set up alerts in case anything stops working.

What you get and what it costs

Included in the price

  • A process map with time counted before and after
  • Building and testing the automation on your data
  • Alerts when an integration stops working
  • Documentation: what runs where, and why
  • All access and keys handed over to company accounts
  • One month of support after launch

Price

from PLN 15,000

excluding VAT

What the price depends on

  • How many tools need connecting and how good their APIs are
  • How many exceptions there are: the more “it depends”, the more work
  • How much historical data has to move
  • Whether you need an approval screen or a report is enough

Prices exclude VAT. You get an exact quote after the audit or the first call.

Not sure where to start? The AI and process audit takes two weeks and costs from PLN 6,000 excl. VAT. You get a process map, counted hours and a rollout plan.

Book a call about the audit

Not included

  • Subscriptions for software and tools, such as Make or paid APIs
  • Cleaning up years of backlog in your data: quoted separately
  • Adapting to vendor changes after the support period
  • Accounting and tax advice

I ran it in my own business first

Everything I offer clients, I run myself first: at Reefa, my commercial cleaning company in Kraków and Katowice, and on the KtoSprząta.pl platform, a directory of cleaning companies.

cash entries from 21 months reconciled to the last grosz, with cash vouchers as PDFs and a summary in the exact format our accountant uses.

Questions I get asked most

Do I have to change the software we use?
Usually not. I start from what already works in the company and connect it. I only suggest switching tools when the current one offers no way to integrate or costs more than it saves.
How much does process automation cost?
A first automation costs from PLN 15,000 excl. VAT. The price depends on how many tools need connecting, how good their APIs are and how many exceptions the rules have. Before we start, I work out how many hours it will save and when it pays back.
Make, n8n or custom code?
It depends on scale. Simple flows with a few steps go into off-the-shelf tools because they’re cheaper to maintain. When money, lots of data or many exceptions are involved, I write custom server-side code: it’s more reliable and doesn’t get more expensive with every run.
What happens when an integration breaks?
I set up alerts so that you hear about a failure as soon as possible. Every automation has alerts and a log, so you can see what went through, what didn’t and why. During the support period I fix it.
How much can we save?
I calculate it before we start: how many hours a week the process takes, how much of that can be automated and after how many months it pays back. You can also work it out yourself with the savings calculator on this site.
Can automation handle KSeF invoices?
Yes. Invoices from KSeF can flow into your process automatically: to accounting, to project costs, to approval. The exact setup depends on the invoicing software you use, so I check that on the first call.
Will I end up dependent on you?
No. The automations run on company accounts, and after launch I hand over all access, keys and documentation. You can keep support with me or pass it to someone else.
