How I calculate it

- Hours today: 3 × 6 h × 4.33 weeks + 0 h of rework = 78 h per month.
- Hours recovered: 78 h × 70% = 54.6 h per month.
- Saving: 54.6 h × PLN 70 = PLN 3,822, minus running costs of PLN 0 = PLN 3,822 per month.
- Payback: PLN 15,000 ÷ PLN 3,822 = 3.9 months.
- After 12 months: PLN 3,822 × 12 − PLN 15,000 = +PLN 30,864. After 24 months: PLN 3,822 × 24 − PLN 15,000 = +PLN 76,728.
Assumptions
- A month has 4.33 weeks (52 weeks divided by 12).
- Rework hours fall in the same proportion as the rest of the work in the process.
- I count from launch day. The rollout period itself isn’t included.
- I don’t add benefits that are hard to count: faster replies to customers, less overtime, more jobs. If automation pays off on hours alone, the rest is a bonus.
- Enter implementation and running costs excluding VAT.
Questions about the calculator
Where do the default values come from?
They’re a starting point, not a measurement. PLN 70 an hour roughly matches a PLN 7–8k gross salary with employer costs, office and equipment. The share of work to automate depends on the process and is my assumption. Enter your own numbers and the result changes instantly.
Why is the result sometimes lower than in other calculators?
I only count hours you can verify. I don’t add the “value of faster response” or extra sales. If automation pays off on hours alone, the rest is a bonus, not a promise.
Do I need to give my email to see the result?
No. You see the result, the formulas and the assumptions straight away. Leave an email only if you want me to comment on the numbers and suggest a time for a call.
How much does an automation project cost?
Process automation starts from PLN 15,000 excl. VAT and custom business systems from PLN 60,000 excl. VAT. You get an exact quote after the AI and process audit (from PLN 6,000 excl. VAT) or after the first call.
Does automation mean letting people go?
That’s your call. The calculator counts the value of recovered hours. You can put them into more jobs, faster customer service or less overtime.
